Prepare a PDF for Archiving and Validate the Result
Understand what Filevolo prepares, what its structural checks cannot prove, and how to validate the profile your archive requires.

A PDF/A declaration inside a document is a claim about the file. It does not prove that the file satisfies the declared profile. Filevolo can prepare some archival structures and inspect selected properties, but neither action replaces a complete conformance validator.
First find out what the recipient requires
Ask for the exact profile, such as PDF/A-1b, and any additional submission rules. Do not assume that every archive or submission portal requires the same version. Keep the original document and work on a copy; rewriting a signed PDF can invalidate its signatures.
What Filevolo changes
Prepare PDF/A structure adds an output color profile and metadata targeting PDF/A-1b. It also checks for missing embedded fonts and displays a warning when it finds them. It does not run a complete ISO 19005 validator or guarantee that every existing feature is compatible with PDF/A-1b.
A font warning is one possible problem, not the only one. If a font is missing, return to the source document and export with fonts embedded where licensing permits. A successful export still needs validation.
Try the built-in sample
- Open the preparation tool and select “Try it with a sample file”. No personal document is needed.
- Download the prepared PDF and preserve the original sample PDF for comparison.
- Open both files. Compare page count, text and image appearance. This checks usability, not archival conformance.
- Run the prepared file through the structural check. Read each individual result rather than treating four green checks as certification.
- Use a complete validator for the target profile before submitting to an archive.
On October 16, 2026, our browser test successfully prepared the built-in sample. That test established that the preparation and download workflow ran; it did not establish PDF/A conformance.
Interpret the structural check
Filevolo inspects encryption, an embedded output profile, PDF/A-identifying XMP metadata and embedded-font references. It does not exhaustively test every rule for the declared profile. “All four structural checks passed” means exactly those checks passed; it does not mean that an archive will accept the file.
Validate the target profile
veraPDF's validation documentation explains its validation workflow and profiles. Check that the report corresponds to the profile your recipient requests, save the report with the submitted file, and inspect any failed rules. A validator report is not a guarantee of acceptance by a particular institution.
If the result fails, use a converter that supports the required profile, preferably exporting from the original document. Validate the new output again. Renaming the file or changing its metadata declaration cannot fix a failed rule.
